Personalize your Email Account

Ok, so its time to do your 'rounds' again. You need to read
your emails. But the thoughts of just opening your mailbox
and getting those tons and tons of emails puts you off.
This is probably an experience that many of us go through.
There are just too many emails to read!
And if you are one who do not want to miss out everything,
you will probably try to read every email. Well, at least
glance through each email, right? But glancing through each
of the emails will still take you time.
So what do we do? We all do the invisible task of filtering
whether we realised it or not - we look at those that are
from familiar people, right? That's the most logical thing
one would do.
And then, when you can spare the time, you go through the
rest. For those of us who just couldn't spare the time to
read all those emails, we ignore the rest, or we simply
delete them. SIMPLE!
Wait a second! What if you are the one who sent the email
trying to reach your audience?! What if you are at the
other side of the table, trying to get people's attention
to read your email?
Everyday, we get tons of emails in our mailbox. And we can
safely conclude that each of us will probably NOT look at
YOUR email unless
1. we are expecting an email from you
2. you are one of the familiar names we usually read first
3. you have a catchy subject title
Make sense, right? So now think about this for a moment -
do you think your email to your audience will get a chance
to be read after all??
Not very good chance? Well then, you can do something to
improve that. Having a catchy subject certainly helps.
Writing good subject is a big topic. It is a skill by
itself. No, you need not be a professional copy writer to
come up with good subjects that will catch the attention of
your readers. But I won't cover this topic here. Instead I
will teach you a very simple trick to increase your change
of people reading your email.
This trick is so simple that many didn't realise it or does
not bother to do it. It is personalizing your email account
where you send out your emails.
If you are a ezine/newsletter owner, and you send out your
ezine issues regularly. What is in the FROM field your
subscribers see when they open their mail client? The
typical default is 'Webmaster'? (I assume that you are
sending from the email account webmaster@xxx.com. The same
arguement holds if you are sending from
newsletter@xxx.com or ezine@xxx.com .)
How many webmasters do you know? Probably a few. Now, look
at things from your readers' point of view. How many
webmasters do you think your readers will know? Probably a
few too. So which webmaster are you?! Your readers will
probably be wondering this! And they will probably give
your email a lower priority and read it later. Worst, they
will probably not read it at all! Not their fault, because
they simply knows too many webmaster, or don't know any
webmaster, that they just skip your email.
So why not help them to identify your email by putting a
more personalize FROM field?!
Now you know why my newsletter is always from
'@URB Newsletter' even though I am sending the newsletter
from the account 'webmaster@UltimateResourceBarn.com'. And
you probably know the reasons why I bother to set the FROM
field to be '@URB Webmaster' for my
'webmaster@UltimateResourceBarn' email account. Right?
By doing such a simple thing like personalizing your email
account, you have done more than just increasing the chance
of your emails being read. Did you realise that by putting
your website name, or company name in the FROM field of
your email account, you are re-enforcing your website or
company image? You are also doing your branding? Yes, of
course you are! You are flashing your product, company
name, or website over and over again to your target
audience. And after a while, your product name, your
company name, or your website will be imprinted in your
readers' mind! Think of how you make use of flash cards to
memorize something. Same and simple logic.
Beside, your webmaster@xxx.com could be rather long if you
have a long domain name. You can't chance your domain name
but you can do something to help the situation. If you don't
like to see long name in the FROM field as it does not help
you find information quickly, your readers probably won't
like it too.
What if you are running a e-commerce site selling
something? You are in the same situation. You will probably
need to reply to your customers via the customer support
email address or the enquiry email address. What is the
FROM field that your prospects or customers are seeing when
they receive your replies? You will probably have a
webmaster email account too. What is the FROM field that
you have set for it?
What if you are sending more information to follow up with
your prospects who have previously requested for more info?
What is the FROM field that you have set for the
auto-responder email account? Surely you will want to help
your prospects to remember who you are. Surely you will
want to identify yourself to them so that they will read
your emails. Surely you would rather NOT use something like
auto-reply@.com if you
can help it?
This concept of personalizing your email account applies
over and over again in many many situations. It is up to
you to give it some thoughts, be creative and apply it
where appropriate.
So you have seen it - you can do one simple thing and get
so much out of it. Yes, you can kill many birds with just
one stone! If you are serious about your business,
personalize each of your email accounts TODAY!
